Welcome to Miles Expedition.
We plan and arrange domestic and international holidays, flights, hotels,
transfers, sightseeing, experiences, honeymoon journeys and visa assistance.
We work with airlines, hotels, DMCs, transport companies, activity providers,
cruise companies, visa centres and other travel suppliers. Because of this,
some parts of your journey are provided by third parties and are subject to
their own terms, rules and conditions.
These Terms & Conditions explain the basic terms under which Miles
Expedition provides its services.
By using our website, making an enquiry, accepting a quotation, making a
payment or confirming a booking with Miles Expedition, you agree to these
Terms & Conditions and the specific terms communicated for your booking.
1. ABOUT MILES EXPEDITION
In these Terms:
“Miles Expedition”, “we”, “us” or “our” means Miles Expedition.
“Customer”, “Traveller”, “Client”, “you” or “your” means the person making
an enquiry, booking or using our services.
“Supplier” means any airline, hotel, resort, DMC, transport company,
tour operator, cruise company, activity provider, visa application centre,
embassy, government authority, insurance company or other third party
involved in providing a travel service.
2. OUR ROLE
Miles Expedition acts as a travel consultant, arranger and facilitator
for travel services.
Depending on the booking, we may arrange services provided by independent
suppliers.
The actual travel service may therefore be governed by the supplier’s own
terms and conditions in addition to these Terms & Conditions.
For example, flight tickets are subject to the relevant airline’s fare
rules and conditions of carriage, while hotel bookings are subject to
the hotel’s booking and cancellation rules.
We will communicate the applicable conditions to you wherever reasonably
possible.
3. QUOTATIONS & PRICES
Travel prices can change.
A quotation provided by Miles Expedition is generally based on the
availability, rates, taxes, currency exchange rates and supplier pricing
available at the time of quotation.
Unless specifically stated otherwise, a quotation is not a guaranteed
booking.
Prices may change before confirmation because of:
- Airline fare changes
- Hotel rate changes
- Exchange-rate fluctuations
- Changes in taxes or government charges
- Changes in supplier pricing
- Availability
- Seasonal demand
- Special events
- Festivals
- Peak travel periods
- Changes in itinerary or passenger requirements
A price becomes confirmed only after the applicable booking/payment
conditions have been completed and the booking has been confirmed by
Miles Expedition.
4. WHAT IS INCLUDED IN A PACKAGE
Every holiday package is different.
The services included in your booking will be listed in your quotation,
itinerary, invoice or booking confirmation.
Depending on the package, this may include:
- Flights
- Hotels
- Meals
- Transfers
- Sightseeing
- Activities
- Tours
- Visa assistance
- Travel insurance
- Local transportation
- Other services specifically mentioned in writing
If a service is not specifically mentioned as included, it should not be
assumed to be included.
Personal expenses are generally not included unless specifically mentioned.
These may include:
- Meals not mentioned in the itinerary
- Room service
- Laundry
- Telephone calls
- Minibar
- Tips
- Porterage
- Shopping
- Personal transportation
- Optional sightseeing
- Optional activities
- Alcoholic beverages
- Hotel deposits
- Other personal expenses
5. BOOKING CONFIRMATION
A booking is considered confirmed only after:
- The required booking/payment conditions have been completed; and
- Miles Expedition or the relevant supplier has confirmed the booking.
An enquiry, quotation, itinerary draft or tentative reservation does not
automatically guarantee availability.
Some services may have limited availability and may expire if payment is
not received within the specified time.
6. ADVANCE PAYMENT & BALANCE PAYMENT
An advance payment may be required to secure your booking.
The balance payment date will be communicated to you at the time of booking.
Failure to make the balance payment within the agreed time may result in:
- Cancellation of the booking
- Loss of availability
- Additional charges
- Fare differences
- Cancellation penalties
- Loss of promotional rates
- Loss of non-refundable deposits
Any resulting cost may be payable by the customer.
7. TRAVELLER INFORMATION
You are responsible for providing correct information for yourself and
all travellers included in the booking.
This may include:
- Full name
- Date of birth
- Passport details
- Nationality
- Contact information
- Travel dates
- Visa information
- Other information required by the supplier
Names and passport details must be checked carefully before confirmation.
Incorrect information can result in:
- Ticket reissue charges
- Name correction charges
- Booking cancellation
- Visa problems
- Denied boarding
- Additional supplier charges
- Loss of the booking
Miles Expedition will not be responsible for costs resulting from incorrect
or incomplete information supplied by the customer.
8. PASSPORTS & TRAVEL DOCUMENTS
It is the traveller’s responsibility to have valid travel documents.
Depending on the destination, this may include:
- Valid passport
- Visa
- Travel insurance
- Return/onward ticket
- Accommodation confirmation
- Proof of funds
- Vaccination documents
- Immigration documents
- Transit visas
- Other documents required by the destination country
Passport validity and entry requirements can vary by country.
You should always check the applicable requirements before travelling.
9. VISA ASSISTANCE
Miles Expedition may provide visa assistance where requested.
We may assist with:
- Document guidance
- Application preparation
- Appointment coordination
- Application submission support
- Travel documentation
- Other services agreed with the customer
However:
Miles Expedition does not issue visas.
The decision to grant, refuse, delay or condition a visa belongs entirely
to the relevant embassy, consulate, immigration authority or government
department.
We do not guarantee visa approval, a particular visa validity, number of
entries or processing time.
Visa fees and visa assistance charges are governed by the applicable
Refund & Cancellation Policy and the terms of the relevant authority.
10. FLIGHT BOOKINGS
Flight tickets are subject to the terms and conditions of the relevant airline.
Airlines control:
- Flight schedules
- Delays
- Cancellations
- Route changes
- Aircraft changes
- Baggage rules
- Check-in requirements
- Fare conditions
- Rebooking
- Refund eligibility
Miles Expedition will assist with communication and available options
where reasonably possible, but we cannot control an airline’s operational
decisions.
11. HOTEL BOOKINGS
Hotels and resorts have their own policies regarding:
- Check-in and check-out
- Cancellation
- No-show
- Early departure
- Room upgrades
- Extra beds
- Child policies
- Security deposits
- Resort fees
- Special-event periods
The hotel’s applicable conditions will apply to your booking.
Hotel photographs and descriptions are provided based on available
supplier information and may vary slightly from the actual property
or room allocated.
12. DMCs & LOCAL SUPPLIERS
For international and domestic holidays, Miles Expedition may work with
local Destination Management Companies (DMCs), tour operators and other
ground suppliers.
The supplier may be responsible for:
- Transfers
- Guides
- Sightseeing
- Excursions
- Local transportation
- Activities
- Local support
Supplier-specific conditions may apply.
We will make reasonable efforts to work with reliable suppliers, but we
cannot control every operational decision made by an independent supplier.
13. ITINERARY CHANGES
Travel arrangements sometimes need to change.
Changes may happen because of:
- Weather
- Airline schedules
- Hotel availability
- Local conditions
- Supplier operational requirements
- Government restrictions
- Events or festivals
- Safety concerns
- Force majeure circumstances
- Other circumstances outside our reasonable control
Where reasonably possible, Miles Expedition will offer an alternative arrangement.
An alternative may not always be identical to the original arrangement.
14. CUSTOMER-REQUESTED CHANGES
If you request a change after confirmation, additional charges may apply.
This may include changes to:
- Travel dates
- Destination
- Flights
- Hotels
- Room category
- Number of travellers
- Transfers
- Activities
- Sightseeing
- Names
- Duration
Any supplier amendment fee or additional cost will be payable by the customer.
15. CANCELLATION & REFUNDS
Cancellations and refunds are governed by the Miles Expedition Refund
& Cancellation Policy, together with the specific cancellation rules
of the suppliers involved.
Different components of the same holiday may have different cancellation rules.
For example:
- A hotel may be refundable
- A flight may be partially refundable
- A transfer may be non-refundable
- An activity may have a separate cancellation deadline
- A visa fee may not be refundable
Therefore, there is no single cancellation rule that applies to every booking.
The cancellation terms communicated at the time of booking will apply
to the relevant service.
16. NON-REFUNDABLE SERVICES
Some travel services may be completely non-refundable.
These may include:
- Promotional airfares
- Non-refundable hotel rates
- Special-event hotel bookings
- Certain activities
- Certain transfers
- Prepaid DMC services
- Visa fees
- Government charges
- Service/convenience fees
- Other supplier-specific services
The customer will be informed wherever such conditions apply.
17. NO-SHOW
If you fail to use a confirmed service without cancelling it according
to the applicable rules, it may be treated as a no-show.
No-show charges may be up to 100% of the applicable booking amount
depending on the supplier.
This can apply to:
- Flights
- Hotels
- Tours
- Transfers
- Activities
- Other travel services
18. UNUSED SERVICES
If you voluntarily choose not to use any part of your itinerary,
no automatic refund will be available.
For example, if you:
- Leave a hotel early
- Miss a sightseeing tour
- Do not use a transfer
- Skip an included meal
- Leave a tour early
- Do not use an activity
the unused service will generally not be refundable unless the supplier
specifically agrees to a refund.
19. SPECIAL REQUESTS
We are happy to pass special requests to suppliers, including where applicable:
- Room preferences
- Honeymoon arrangements
- Birthday arrangements
- Dietary preferences
- Connecting rooms
- Early check-in
- Late check-out
- Special celebrations
- Accessibility requirements
However, a special request is not the same as a guaranteed service.
It is subject to supplier availability and confirmation.
20. HOTEL CHECK-IN & SECURITY DEPOSITS
Hotels may require:
- Government-issued identification
- Passport
- Credit/debit card
- Cash deposit
- Security deposit
- Resort fee
- Local tax
- Other charges
These requirements can vary by hotel and destination.
Any such charge not specifically included in your package will generally
be payable directly by the traveller.
21. TRAVEL INSURANCE
Travel insurance is strongly recommended for international and domestic travel.
Depending on the policy, insurance may provide protection against certain
events such as:
- Medical emergencies
- Trip cancellation
- Baggage loss
- Baggage delay
- Travel delays
- Other covered events
Insurance coverage depends entirely on the policy purchased.
Miles Expedition does not guarantee that an insurance claim will be approved.
22. TRAVEL & ENTRY REQUIREMENTS
Travellers are responsible for meeting the entry requirements of their destination.
This may include requirements relating to:
- Passport validity
- Visa
- Transit visa
- Immigration
- Vaccinations
- Health documentation
- Proof of accommodation
- Return/onward travel
- Financial requirements
Rules can change without notice.
Travellers should verify the latest official requirements before departure.
23. CUSTOMER CONDUCT
Customers are expected to behave responsibly during their journey.
Customers must follow:
- Local laws
- Immigration rules
- Hotel rules
- Airline rules
- Tour rules
- Supplier instructions
- Safety requirements
Miles Expedition will not be responsible for consequences arising from
a customer’s unlawful, unsafe or inappropriate conduct.
24. CHILDREN & MINORS
Children and infants are subject to the rules of the relevant airline,
hotel, destination and activity provider.
Child ages must be provided correctly at the time of booking.
Incorrect age information may result in additional charges or cancellation.
Parents or legal guardians remain responsible for children travelling with them.
25. FORCE MAJEURE
Miles Expedition will not be responsible for circumstances that are beyond
our reasonable control.
These may include:
- Natural disasters
- Severe weather
- Floods
- Earthquakes
- War
- Terrorism
- Civil unrest
- Strikes
- Government restrictions
- Border closures
- Pandemics or epidemics
- Airport closures
- Airline disruptions
- Political events
- Changes in immigration rules
- Supplier failure
- Other unforeseen circumstances
Where such circumstances occur, we will make reasonable efforts to assist
you with available alternatives, credits or refunds from suppliers.
26. RESPONSIBILITY FOR THIRD-PARTY SERVICES
Airlines, hotels, DMCs, transport companies, cruise operators, activity
providers and other suppliers operate independently.
Miles Expedition does not own or control these third-party services.
We will make reasonable efforts to work with appropriate suppliers and
assist with issues relating to your booking.
However, we cannot guarantee the actions, omissions, availability,
performance or decisions of an independent supplier.
27. WEBSITE CONTENT
We try to keep the information on our website accurate and current.
However, destination information, prices, images, schedules, hotel
information, visa requirements and other travel information may change.
Website content should not be treated as a guarantee of availability,
price or service unless specifically confirmed by Miles Expedition.
28. WEBSITE USE
You agree not to:
- Misuse our website
- Attempt unauthorised access
- Upload harmful code
- Copy website content for commercial use without permission
- Interfere with website operation
- Use our website for fraudulent activity
- Impersonate another person
- Submit false information
We reserve the right to restrict access where necessary to protect our
website, customers or business.
29. INTELLECTUAL PROPERTY
The Miles Expedition name, logo, website design, written content,
photographs, graphics and other original material on our website are
owned by or licensed to Miles Expedition unless otherwise stated.
You may not reproduce, modify, distribute, sell or commercially use
our content without written permission.
30. CUSTOMER PHOTOGRAPHS, REVIEWS & TESTIMONIALS
If you voluntarily provide us with a review, testimonial, photograph
or video for marketing purposes, we may use it in accordance with our
Privacy Policy and any permission provided.
If specific consent is required, we will seek it before using the
content in the relevant manner.
31. COMMUNICATION
We may communicate with customers through:
- Phone
- SMS
- Other communication channels provided by the customer
Important booking, payment, visa and travel information may be
communicated through these channels.
Customers are responsible for providing a working contact number
and email address and for checking important travel communications.
32. FRAUDULENT TRANSACTIONS
Miles Expedition reserves the right to refuse, suspend or cancel a
booking where there is reasonable suspicion of:
- Fraud
- Payment misuse
- Identity misuse
- False information
- Unauthorised payment
- Suspicious activity
Any refund in such circumstances will be handled according to applicable
law, payment-provider rules and the circumstances of the transaction.
33. PRIVACY
Your personal information is handled according to our Privacy Policy.
By using our services, you acknowledge that certain information may need
to be shared with airlines, hotels, DMCs, visa authorities, government
bodies, payment providers and other suppliers where reasonably necessary
to provide the services you have requested.
34. LIMITATION OF RESPONSIBILITY
Miles Expedition will make reasonable efforts to arrange the services
confirmed in your booking.
However, we cannot be held responsible for losses, delays, cancellations
or additional costs caused solely by circumstances outside our reasonable
control or by the acts or omissions of independent third-party suppliers.
Nothing in these Terms & Conditions is intended to exclude or limit
any liability that cannot legally be excluded or limited under applicable law.
35. COMPLAINTS & SERVICE ISSUES
If you experience an issue during your trip, please contact Miles Expedition
as soon as reasonably possible.
Where the issue relates to a hotel, transfer, guide, airline or other
supplier, we may need to contact that supplier while the service is still
in progress.
Please give us a reasonable opportunity to resolve an issue while you are travelling.
Complaints raised only after the completion of the trip may be more
difficult to investigate or resolve.
36. GOVERNING LAW
These Terms & Conditions shall be governed by the applicable laws of India.
Any dispute will be dealt with in accordance with applicable Indian law
and the jurisdiction of the competent courts having jurisdiction over the
relevant matter and, where legally applicable, the location of Miles
Expedition’s registered/operating office.
37. CHANGES TO THESE TERMS
Miles Expedition may update these Terms & Conditions from time to time
to reflect changes in:
- Our services
- Supplier requirements
- Business practices
- Technology
- Applicable laws
- Regulatory requirements
The updated version will be published on this page with a revised
“Last Updated” date.
The terms applicable to your confirmed booking will also depend on the
specific booking documents and supplier conditions communicated to you.
38. ACCEPTANCE
By making an enquiry, accepting a quotation, making a payment or confirming
a booking with Miles Expedition, you acknowledge that you have had an
opportunity to read and understand these Terms & Conditions and agree
to the terms applicable to your booking.
If you do not agree with these Terms & Conditions, please do not
proceed with the booking.
OUR COMMITMENT
Travel doesn’t always go exactly according to plan.
Flights change. Weather changes. Hotels sometimes change. Visas can
be delayed or refused. Suppliers can change their operating conditions.
We cannot control everything that happens during a journey.
What we can do is communicate clearly, plan responsibly, work with
our travel partners and help you when something doesn’t go as expected.
We believe good travel starts with clear expectations.
