REFUND & CANCELLATION POLICY

At Miles Expedition, we understand that travel plans can change. At the same time, every booking involves airlines, hotels, DMCs, transport companies, attractions, cruise operators, visa centres and other suppliers, and many of these services are booked and paid for in advance.
Because of this, refunds and cancellations are not always fully within our control.
When you make a booking with Miles Expedition, you agree to the cancellation and refund conditions applicable to your booking, along with the terms of the respective airline, hotel, tour operator, DMC, cruise line, visa authority and other service providers involved.
1. Cancellation of Domestic & International Holidays
You can request cancellation of your booking by contacting Miles Expedition in writing through the official contact details provided to you at the time of booking.
Cancellation will be considered from the date and time we receive your written cancellation request.
The refund, if any, will be calculated after deducting:
- Cancellation charges applicable to the booking
- Airline cancellation or reissue charges
- Hotel cancellation charges
- DMC / local supplier charges
- Transport and transfer cancellation charges
- Cruise or activity cancellation charges
- Visa charges and visa service fees, where applicable
- Non-refundable deposits
- Payment gateway or transaction charges, where applicable
- Any other non-refundable amount already paid or committed to a supplier
- Applicable taxes, government charges or statutory deductions where applicable
The cancellation policy applicable to your particular booking will always take priority over this general policy.
For example, if your itinerary states that a particular hotel, flight or package component is non-refundable, that amount will not be refundable even if the rest of the booking is refundable.
2. Booking Amount / Advance Payment
An advance or booking amount may be required to confirm your holiday.
Once a booking is confirmed, Miles Expedition may immediately make payments or commitments to third-party suppliers to secure flights, hotels, transfers, activities, permits or other services.
Therefore, an advance payment should not automatically be considered fully refundable.
If a supplier has already received or committed the amount and does not provide a refund, Miles Expedition cannot refund that amount to the customer.
3. Flight Bookings
Flight cancellations, changes and refunds are governed primarily by the airline’s fare rules.
Some fares may be refundable, some may have cancellation penalties, and some fares may be completely non-refundable.
Any refund received from the airline will be passed on to the customer after deducting applicable:
- Airline cancellation charges
- Fare differences
- Reissue charges
- Miles Expedition service/convenience charges, if applicable
- Payment processing charges, if applicable
- Other applicable deductions
Airline schedules, delays, cancellations and operational decisions are controlled by the airline and not by Miles Expedition.
4. Hotel Bookings
Hotel cancellation policies vary from property to property and according to the rate booked.
Some hotel rates are:
- Fully refundable until a specified date
- Partially refundable
- Non-refundable
- Subject to a cancellation fee
- Subject to a no-show charge
The applicable hotel cancellation policy will be communicated wherever applicable at the time of booking.
Once a hotel booking becomes non-refundable according to the hotel’s terms, Miles Expedition cannot guarantee a refund.
5. Domestic & International Tour Packages
For package holidays, cancellation charges may vary depending on the destination, travel dates, number of travellers, suppliers involved and time remaining before departure.
Some services may be prepaid or blocked specifically for you.
Therefore, the amount refundable after cancellation will be the amount actually recoverable from the respective suppliers after applicable cancellation deductions.
There may be situations where a booking becomes 100% non-refundable, particularly close to the departure date or once non-refundable services have been issued/confirmed.
6. VISA FEES & VISA ASSISTANCE
Please read this section carefully.
Visa approval is completely at the discretion of the concerned Embassy, Consulate, Immigration Authority or Government Department.
Miles Expedition does not issue visas and cannot guarantee that a visa will be granted.
We can assist with documentation, application preparation, appointment coordination and submission support, wherever applicable, but the final decision belongs entirely to the relevant authority.
Visa fees
Visa fees paid to an Embassy, Consulate, Government Authority, Visa Application Centre or other authorised authority are generally non-refundable once the application has been submitted or processed, subject to the refund rules of the relevant authority.
Miles Expedition cannot refund any visa fee that has already been paid to an embassy, consulate, government authority or visa application centre and is not refundable under their applicable rules.
A visa application may be approved, refused, delayed, withdrawn or issued with different conditions. A visa refusal or delay does not by itself make the visa fee, travel booking or other associated costs refundable.
Miles Expedition service/assistance fees, where applicable, are non-refundable once visa processing or application assistance has commenced, unless otherwise specifically agreed in writing.
Important
If your visa is refused, the holiday booking does not automatically become fully refundable.
Flights, hotels, transfers, activities and other travel services will remain subject to their individual cancellation policies.
Customers are therefore advised to carefully consider the applicable cancellation conditions before making non-refundable travel arrangements.
7. Visa Re-application
If your visa application is refused and you wish to apply again, appeal or submit a new application, it will be treated as a new visa application.
Any new government/embassy visa fees, appointment charges and Miles Expedition service/assistance fees, where applicable, will be payable again.
Miles Expedition cannot guarantee approval of a re-application.
8. Cancellation Because of Visa Delay
A visa delay does not automatically entitle the customer to a full refund.
If a customer chooses to cancel a trip because the visa has not been received by the expected travel date, the applicable cancellation charges of the airline, hotel, DMC and other suppliers will apply.
Customers are strongly advised not to assume that a visa will be granted by a particular date when making non-refundable travel arrangements.
9. No-Show
If you do not arrive for a confirmed flight, hotel, transfer, tour, activity or other booked service without cancelling it in accordance with the applicable cancellation rules, it may be treated as a no-show.
No-show charges may be up to 100% of the booking amount, depending on the supplier’s terms.
No refund will be guaranteed for unused services after a no-show.
10. Early Return / Unused Services
If you voluntarily shorten your trip, leave a tour early or do not use any part of your confirmed itinerary, the unused portion is not automatically refundable.
Any refund will depend entirely on whether the relevant supplier agrees to refund the unused service.
11. Changes to a Confirmed Booking
Any change requested after confirmation may result in additional charges.
This may include changes to:
- Travel dates
- Passenger names
- Flights
- Hotels
- Room categories
- Number of travellers
- Transfers
- Activities
- Destination
- Duration of stay
Any supplier amendment fee, fare difference, hotel rate difference or other applicable cost will be payable by the customer.
12. Refunds Due to Supplier Cancellation
If an airline, hotel, DMC, cruise line or other supplier cancels a service, Miles Expedition will make reasonable efforts to obtain the applicable refund or alternative arrangement from that supplier.
Only the amount actually refundable or recoverable from the supplier can be passed on to the customer, after applicable deductions.
Where an alternative service is offered instead of a refund, the customer may choose from the options made available by the supplier, subject to the supplier’s rules.
13. Force Majeure / Events Beyond Our Control
Miles Expedition will not be responsible for losses caused by circumstances beyond our reasonable control, including but not limited to:
- Natural disasters
- Floods
- Earthquakes
- Severe weather
- War
- Terrorism
- Civil unrest
- Government restrictions
- Border closures
- Epidemics or pandemics
- Strikes
- Airline or airport disruptions
- Changes in immigration rules
- Government or embassy decisions
- Political situations
- Supplier failure or operational disruption
In such circumstances, any refund will depend on the amount recovered from the relevant suppliers.
We will assist customers in obtaining eligible refunds, credits or alternatives wherever reasonably possible.
14. Refund Processing
Where a refund is approved, Miles Expedition will process the refundable amount after receiving/confirming the applicable refund from the relevant supplier.
Refund processing time can vary depending on:
- Airline
- Hotel
- DMC
- Visa authority
- Payment gateway
- Bank
- Credit/debit card provider
- Other suppliers involved
Therefore, a refund may take time even after cancellation has been approved.
Where possible, refunds will be made to the same payment method/account used for the original booking, subject to payment-provider and banking requirements.
15. Refunds Are Not Immediate
Cancellation confirmation and refund processing are two different things.
A cancellation may be confirmed first, while the actual refund is processed later after the supplier releases the refundable amount.
Miles Expedition will not be responsible for delays caused by airlines, hotels, government authorities, banks, payment gateways or other third parties.
16. Currency & Exchange Rate
For international bookings, refunds may be affected by the exchange rate or the currency in which the supplier processes the refund.
Miles Expedition cannot guarantee that the INR value received by the customer will be exactly the same as the amount originally paid where the underlying supplier transaction/refund is processed in another currency.
17. Taxes & Government Charges
Applicable taxes, TCS, government charges, visa charges and other statutory amounts will be handled according to the applicable rules and the nature of the booking.
Any amount that is not refundable by the relevant authority or supplier will not be refundable by Miles Expedition.
18. Refund Calculation
A refund does not mean that the entire amount paid will automatically be returned.
The refundable amount will generally be calculated as:
Amount Paid
− Supplier Cancellation Charges
− Non-Refundable Components
− Visa / Government Charges
− Applicable Service / Convenience Charges
− Other Applicable Deductions
= Refund Amount
The final refund calculation will be communicated to the customer wherever applicable.
19. Cancellation Request
All cancellation requests should be made in writing through the official Miles Expedition communication channel provided with your booking.
A verbal request to a travel consultant, driver, hotel, airline or third party will not by itself constitute a cancellation confirmation from Miles Expedition.
Please wait for written confirmation of your cancellation.
20. No Guaranteed Refund Promise
Unless specifically mentioned in writing in your booking confirmation, itinerary or applicable supplier terms, Miles Expedition does not guarantee a full refund for a cancelled booking.
Every booking is different, and cancellation terms may vary according to the service, destination, supplier and booking conditions.
21. Our Commitment
We understand that cancelling a holiday can be frustrating.
Where a refund is possible, we will make reasonable efforts to recover the maximum amount available from the relevant suppliers and process the eligible refund to you.
At the same time, Miles Expedition cannot refund money that has already been paid to a supplier and is not recoverable from that supplier.
Our goal is to keep the cancellation process clear and transparent rather than make promises that are outside our control.
Travel plans can change. We understand that. We will always try to help you find the fairest possible solution within the rules of the suppliers and authorities involved.
